Data Security, NDA & Our Quality Guarantee
Your drawings and models are your business. This page sets out how we protect your files, who can see them, what happens when the job is done, and what we promise if the work is not right.
Sending project files to an outside BIM team is a real risk, and you should ask any partner how they handle it. These are the rules BIM365 follows on every project, written down so you can check them before you send anything.
If your company has its own security requirements or contract terms, send them to us. We review them before the project starts and confirm in writing which ones we meet. Questions? Contact us.
Our rules
How We Protect Your Files
NDA First
We sign your NDA, or ours, before any drawings, models or project details are shared.
Your Platform
We prefer to work inside your Autodesk Construction Cloud, BIM 360, Procore or SharePoint, so files never leave your control.
Named Access Only
Only the people working on your project get access, and each one is covered by the same NDA.
Secured Workstations
Work is done on password-protected, updated machines with licensed software. No project files on personal phones.
Secure Transfer
If files must move, we use your CDE or a secure, expiring transfer link. Never email attachments for models.
Deletion on Request
When the job is closed, we delete project files from our side on request and confirm by email.

How Files Can Be Shared
We fit your process. These are the common options, from most to least preferred.

How it works
What Happens to Your Files
- Before the project. NDA signed, access set up for named team members only.
- During the project. Files stay on your platform where possible. Work is checked and shared only through the agreed channel.
- At handover. Final models, reports and sheets delivered through the same channel, with a list of every file delivered.
- After the project. On request, all project files are deleted from our side and we confirm in writing.
- If something goes wrong. We tell you straight away, explain what happened and what we are doing about it.
Our Quality Guarantee
- Matches the brief: if the model does not meet the agreed LOD, BEP and scope, we fix it at no extra cost.
- Clear scope: scope, LOD and deliverables are agreed in writing before work starts.
- Changes quoted first: anything outside the agreed scope is priced and approved by you before we do it.
- Paid pilot option: start with one level or one clash round at a fixed price and judge the work first.
